How to Print a WhatsApp QR Code on Your Menu (Restaurant Guide)

A step-by-step guide for restaurants and cafés to accept WhatsApp orders directly from the menu with a QR code that actually works.

The average restaurant loses 15% of takeaway orders to phone-call friction. A WhatsApp QR on your menu recovers those. Here's how to do it right the first time.

Why WhatsApp beats phone orders for takeaway

  • The customer can browse the menu again mid-order without ending the call.
  • You have the full order in writing — no "wait, was that with fries?"
  • Multiple staff can handle orders from one number (WhatsApp Business + shared device).
  • Photos of the ready order confirm it's yours before pickup.
  • After the order, the customer has your contact for next time.

Once you set this up, most customers who try it once never call again.

Step 1: Prepare the WhatsApp number

Use a dedicated WhatsApp Business number, not your personal WhatsApp:

  • Install WhatsApp Business (free) on the phone that lives at the front counter.
  • Register with a business SIM or a second eSIM.
  • Set up:
    • Business profile: address, hours, website.
    • Greeting message: "Hi! Thanks for ordering with us. Please send: (1) items, (2) pickup or delivery, (3) time. We'll confirm in a few minutes."
    • Away message for when you're closed.
    • Quick replies for "confirmed", "ready in 20 min", "delivered", "payment link".

Step 2: Generate the WhatsApp link + QR

  • Add a pre-filled message like "Hi! I'd like to order from [Restaurant Name]:"
  • Download the QR code as SVG (for print) — SVGs stay crisp at any size.

Step 3: Design the menu placement

The QR code needs to be seen and understood. Rules:

  • Minimum 2.5cm × 2.5cm — anything smaller fails from arm's length.
  • Prominent placement — top of menu or beside "Takeaway" section, not in a corner.
  • Add a label in large text: "📱 Order via WhatsApp — scan here".
  • White margin around the QR — at least 5mm of empty space.
  • Contrast: dark QR on a light background. Never inverted (light on dark) — many old scanners fail.

Step 4: Print settings

For print menus:

  • Vector format (SVG or PDF) — never PNG. Scaling PNG blurs the QR.
  • CMYK color mode if going to a print shop. RGB for laser prints.
  • 300 DPI minimum for anything under A4.
  • Test one printed sample first — scan with 3 phones (iPhone, Android, older phone) from 30cm and 1m away.

For laminated / plastic menus:

  • Matte lamination — glossy lamination causes reflection that breaks the scan.
  • Add a subtle border around the QR so it doesn't look like a design mistake.

Step 5: Test in the actual restaurant

Before you print 500 menus:

  • Print 5 samples. Put them on 5 tables at different lighting conditions.
  • Scan from each phone camera. If any fail, fix and reprint.
  • Check that the greeting message actually fires when a new customer chats.
  • Time yourself replying — can you handle 3 chats in 5 minutes at peak?

Step 6: Train the staff

  • Teach one person to be the "WhatsApp desk" during service. Rotating attention destroys response time.
  • Use quick replies so answers are consistent.
  • End every order with: "See you at [time]. Message us if anything comes up."
  • After pickup: "Enjoy! If you liked it, we'd love a review [link]."

Common failures and fixes
