Adding a WhatsApp Link to Your Email Signature (Gmail, Outlook, Apple Mail)

Step-by-step for Gmail, Outlook, and Apple Mail. Includes design tips for a signature that actually gets clicks.

Your email signature is prime real estate. If someone reads your email, they trust you enough to consider a reply. Give them the fastest way to reply: WhatsApp.

Step 1: Generate the WhatsApp link

Use our free generator:

  • Country + number.
  • Pre-filled message like "Hi! Following up on your email."
  • Copy the URL.

Step 2: Add to Gmail

  1. Open Gmail β†’ Settings (gear icon) β†’ See all settings.
  2. Scroll to Signature β†’ create or edit your signature.
  3. Type "Chat on WhatsApp" or use the WhatsApp icon (see below).
  4. Highlight the text β†’ click the link icon in the toolbar β†’ paste the WhatsApp URL β†’ OK.
  5. Scroll down β†’ Save changes.

Send yourself a test email. Click the link. WhatsApp should open.

Step 3: Add to Outlook (New Outlook / Outlook Web)

  1. Click the gear icon β†’ View all Outlook settings.
  2. Mail β†’ Compose and reply β†’ Email signature.
  3. Type your signature. Highlight "Chat on WhatsApp" β†’ Insert link β†’ paste URL β†’ OK.
  4. Save.

For Outlook desktop (Windows): File β†’ Options β†’ Mail β†’ Signatures β†’ New. Same link-insertion process.

Step 4: Add to Apple Mail

  1. Mail β†’ Settings β†’ Signatures.
  2. Create a signature. Type your text.
  3. Select "Chat on WhatsApp" β†’ Edit menu β†’ Add Link β†’ paste URL.
  4. Set as default for your account.

Step 5: Add to Apple Mail on iPhone

  1. Settings (iOS Settings, not the Mail app) β†’ Mail β†’ Signature.
  2. Add your text. You can't add a clickable link directly in iOS settings, but paste this HTML into a note first, then copy from note to signature β€” the link survives.

Design tips that increase clicks

  • Use the WhatsApp icon (green speech bubble). Free icons: icons8.com/icons/whatsapp, flaticon.com.
  • "Chat" > "Message" > "Contact" β€” "Chat" is the least corporate.
  • Put it on its own line after your name/title. Buried in the middle, it gets skipped.
  • Include hours if you're strict: "Chat on WhatsApp (9am–6pm)" β€” sets expectations.
  • Don't add three chat options (WhatsApp + Telegram + Signal + SMS). Pick one primary.

Common mistakes

  • Raw wa.me/12125551234 as visible text. Ugly and long. Hyperlink it behind clean text like "Chat on WhatsApp."
  • No pre-filled message. Opens an empty chat, awkward.
  • Broken link because someone stripped tracking parameters. Test after every signature change.
  • Blue-and-underlined link in a WhatsApp-branded green world. Style the link to match your brand.

Measure it

Add a UTM parameter to distinguish email-signature chats from web-form chats:

The UTM survives in the pre-filled message so you can see the source in your WhatsApp inbox. Review monthly: how many chats came from email signatures vs. other sources? If it's the top source, redesign the signature to feature WhatsApp even more prominently.
