You don't need a developer to automate WhatsApp. With no-code tools like Zapier and Make (formerly Integromat), you can trigger WhatsApp messages from your store, forms, calendar, or CRM β and log incoming chats automatically. Here's how it works and what to build first.
How no-code WhatsApp automation works
Zapier and Make connect apps using a simple pattern: a trigger ("when this happens") fires an action ("do that"). For WhatsApp, the action usually runs through the WhatsApp Business Platform (Cloud API), often via a provider like Twilio, 360dialog, or a built-in WhatsApp module.
A few ground rules first:
- Automated, business-initiated messages require approved templates and opt-in. You can't cold-message people. Utility templates (order/shipping/reminders) and marketing templates have different rules β see WhatsApp broadcast marketing rules.
- You'll need Cloud API access (directly or through a provider). The basics are covered in WhatsApp Cloud API beginner's guide.
Zapier vs Make: which to pick
| | Zapier | Make | |---|---|---| | Ease of use | Simplest, linear "Zaps" | Visual, more flexible flows | | Branching/logic | Basic | Strong (routers, filters, iterators) | | Pricing model | Per task, tiered | Per operation, often cheaper at volume | | Best for | Quick, simple automations | Complex multi-step workflows |
Start with Zapier if you want the fastest path; choose Make if your workflows branch or handle volume.
Five automations worth building first
1. Order confirmation on WhatsApp
- Trigger: new order in Shopify / WooCommerce / your store.
- Action: send a utility template β "Hi [Name], order #[1234] confirmed! Arrives around [date]."
2. Appointment reminder
- Trigger: event starts in ~24h in Google Calendar / your booking tool.
- Action: send "Reminder: [service] tomorrow at [time]. Reply CONFIRM or RESCHEDULE."
3. New lead β instant WhatsApp welcome
- Trigger: new form submission (Typeform, your website).
- Action: send a welcome template and notify your sales rep.
4. Incoming WhatsApp message β CRM + Slack
- Trigger: new inbound WhatsApp message (via your provider's webhook module).
- Action: create/update a contact in your CRM and post to a Slack channel so nobody misses a lead.
5. Abandoned cart nudge
- Trigger: cart abandoned event.
- Action: after a delay, send a recovery template with a link β pull copy from 15 WhatsApp marketing templates.
Building your first Zap (order confirmation)
- In Zapier, click Create Zap.
- Trigger: choose your store app β event New Order β connect your account.
- Action: choose your WhatsApp provider (e.g. WhatsApp Business Cloud, Twilio, or 360dialog).
- Select your approved template and map fields β customer name to
{{name}}, order number to{{order}}. - Test with a real recent order, confirm the message arrives, then turn it on.
Make follows the same logic in a visual canvas: add a trigger module, then a WhatsApp module, and connect the dots.
Add logic with filters and routers
Automations get smart when they branch:
- Filter: only send if order value is above a threshold, or only for certain countries.
- Router (Make): VIP customers get one message, everyone else another.
- Delay: wait a few hours before a cart nudge so you don't message instantly.
- Formatter: clean phone numbers into international format (no
+, no leading zero) before sending.
Watch your costs and limits
- Per-conversation billing applies on the Cloud API β utility and marketing templates are paid. Budget accordingly; see WhatsApp Business API pricing.
- Task/operation costs in Zapier/Make add up at volume. Make is usually cheaper for high-throughput flows.
- Rate and quality limits still apply β automation doesn't exempt you from opt-in and quality rating rules.
Keep automations human
The fastest way to ruin WhatsApp is to make it feel like a robot:
- Personalize β always merge the name and specifics.
- Route replies to a human β never trap someone in a bot with no escape.
- Send only relevant, expected messages β automation multiplies both value and annoyance.
When you don't need any of this
If you only want inbound chats β customers tapping a button to talk to you β you don't need automation at all. A wa.me link and QR from our free WhatsApp link generator covers it. Reach for Zapier or Make once you're sending transactional updates or syncing chats to other tools.
Start small
Pick one automation (order confirmation is the easiest win), build it, test it with real data, and only then add the next. A few reliable automations beat a tangled workflow nobody trusts.
